What this policy covers
This policy explains how WhenToBook (whentobook.co.uk), operated by Drop Media Ltd, collects and uses personal data. We’ve written it in plain English — if anything is unclear, email us at admin@whentobook.co.uk.
What data we collect and why
Email addresses. If you sign up for price alerts, we collect your email address. We use it to send you booking intelligence alerts when Club Med ski prices shift. We don’t use it for unrelated marketing.
Usage data. We use Google Analytics 4 (GA4) to understand how visitors use the site — pages viewed, time on site, approximate location (country/city level), device type, and referral source. This data is aggregated and anonymous; we cannot identify you from it.
Functional data. We store a small flag in your browser’s localStorage to remember your cookie consent choice and (on the Club Med tracker) any dismissed notices. This never leaves your device.

GA4 cookies are set on first page load. You can prevent them by declining cookies (if you haven’t accepted) or by using a browser extension such as uBlock Origin or the Google Analytics Opt-out Add-on.
Third parties
Kit.com (formerly ConvertKit). If you submit your email for alerts, it is stored in our Kit account. Kit is our email service provider. Their privacy policy is at kit.com/privacy-policy. We do not share your email with any other third party.
Google Analytics. Aggregated usage data is processed by Google. Google’s privacy policy is at policies.google.com/privacy. We have configured GA4 without user-level advertising features.
We do not sell, rent, or share personal data with any other companies.
How long we keep data
Email addresses are kept for as long as you remain subscribed to price alerts. If you unsubscribe or ask us to delete your data, we remove it within 30 days. Analytics data is retained for 14 months (Google’s default).
Your rights under UK GDPR
As a UK resident you have the right to:
- Access — request a copy of the data we hold about you
- Deletion — ask us to delete your personal data
- Rectification — ask us to correct inaccurate data
- Objection — object to processing based on our legitimate interests
- Restriction — ask us to limit how we use your data
- Portability — receive your data in a machine-readable format
To exercise any of these rights, email admin@whentobook.co.uk. We’ll respond within 30 days.
If you’re not satisfied with how we’ve handled your data, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk.
Legal basis for processing
We process email addresses on the basis of consent — you chose to sign up. You can withdraw consent at any time by unsubscribing or emailing us.
We process analytics data on the basis of legitimate interests — understanding how the site is used helps us improve it. Analytics cookies are set on consent via the cookie banner.
Changes to this policy
If we make material changes, we’ll update the “Last updated” date above. The current version is always at whentobook.co.uk/privacy/.
